Role Purpose: The Executive Assistant to the CEO is essential for the seamless operation of the executive office. This role involves managing daily tasks such as meal ordering, travel coordination, and meeting scheduling, allowing the CEO to concentrate on strategic leadership.

Key Responsibilities:

  • Calendar Management: Oversee the CEO's schedule, coordinating meetings, appointments, and travel plans, requiring interaction with various stakeholders.
  • Travel Coordination: Organize travel logistics, including itineraries, accommodations, and transportation for both domestic and international trips.
  • Meeting Preparation: Develop meeting agendas and materials to ensure the CEO is well-prepared for discussions and presentations.
  • Document Management: Maintain and organize essential documents and files for easy access and retrieval.
  • Information Flow: Facilitate the timely exchange of information to and from the CEO's office, keeping them updated on critical matters.
  • Follow-Up: Monitor action items and deadlines from meetings, ensuring the CEO remains informed of commitments.
  • Confidentiality: Uphold the highest standards of discretion regarding sensitive information.
  • Personal Assistance: Occasionally assist with personal errands and tasks for the CEO.
  • Relationship Management: Cultivate and maintain relationships with key internal and external contacts.
  • Emergency Response: Be prepared to address urgent matters as they arise, including after-hours support.
  • Continuous Improvement: Identify opportunities to enhance office efficiency and productivity.
  • Professional Development: Stay updated on best practices in executive support to continually improve skills.

Qualifications:

  • 2-3 years of experience in supporting executive leadership.
  • Proven experience in managing complex calendars.
  • Expertise in arranging domestic and international travel.
  • Experience in creating presentations using PowerPoint.
  • Strong proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
