About the Role

We are seeking a highly skilled and organized Executive Coordinator to join our team at TransPerfect. As a key member of our organization, you will be responsible for maintaining calendars, scheduling meetings, coordinating travel, and providing administrative support to our executive team.

Key Responsibilities
  • Ensure a successful day-to-day operation for the executive team
  • Manage the executive's calendar, scheduling all meetings and personal engagements, and overseeing them through completion
  • Handle all travel arrangements, including booking flights, hotels, and rental cars
  • Arrange dinner plans and client entertainment bookings, utilizing your creativity to create exceptional experiences
  • Anticipate and prepare for each day, completing necessary research and preparing materials in advance
  • Maintain relationships with the executive's management team, employees, friends, and guests, communicating with them via email, phone, and in person
  • Support with planning and coordinating corporate meetings and management off-sites
  • Complete any additional administrative tasks required of the executive department
  • Assist the marketing and communications team with media opportunities for the executive, including photo and video shoots, internal communications platforms, incoming PR requests, and speaking engagements
  • Stay up-to-date on company happenings and priorities, keeping your finger on the pulse of the organization's needs
  • Report on business performance, using qualitative and quantitative data
  • Research and find answers to questions, big and small, utilizing your problem-solving skills
  • Manage different projects, some more complex, some more simple, adapting to the dynamic and ever-changing business environment
  • Personal Assistant Work: ordering, picking up, and dropping off lunches, dry cleaning, travel, expenses, personal appointments, and other tasks as needed
Requirements
  • Interest in pursuing a long-term career in business, business management, or a related field
  • At least 3-5 years of executive or personal assistant experience
  • Incredibly detail-oriented and organized, with a system for keeping track of tasks and deadlines
  • Logical thinker and rational decision-maker
  • Emotionally intelligent and naturally empathetic
  • Ability to maintain composure and work well under pressure
  • Takes ownership of all tasks, large and small, and approaches work with a proactive attitude
  • Highly skilled communicator, able to keep track of multiple communication threads and relationships
  • Optimistic and high-energy
  • Ability to handle multiple different types of tasks and adapt to changes
  • Availability to work after hours and weekends
