Cox Communications is seeking a Senior Administrative Coordinator to support the Senior Vice President of Engineering. This role is essential in ensuring the smooth execution of various administrative tasks, including team oversight and assistance with communication, extensive scheduling, meeting organization, data management, financial processing, recordkeeping, travel arrangements, and special project management as required by the Senior Vice President and an additional Vice President in Engineering.

Key Responsibilities:
  • Engage daily with executive-level management, leadership teams, and their administrative support.
  • Coordinate Senior Leadership Staff Meetings and departmental gatherings, ensuring efficient logistics such as venue selection, audiovisual requirements, transportation, and catering. Provide on-site administrative support during these meetings, including agenda preparation and minute-taking.
  • Manage a dynamic and complex calendar, prioritizing meetings, appointments, and necessary resources.
  • Organize travel arrangements (air, hotel, transportation) and coordinate agendas with regional staff as needed.
  • Draft letters, memoranda, and reports from initial drafts, ensuring thorough proofreading and review for accuracy.
  • Prepare presentations and documents utilizing various software applications for annual conferences.
  • Screen email inquiries, take messages, respond to questions, and direct individuals to the appropriate contacts, demonstrating an understanding of HR policies.
  • Maintain confidentiality and secure access to sensitive personnel and company information.
  • Update or create databases and manage documentation according to established systems.
  • Take and prepare notes during meetings and conferences, providing administrative support as needed.
  • Sort and distribute incoming mail and packages appropriately.
  • Welcome and assist visitors, arranging for escorts when necessary.
  • Prepare, verify, and process expense reports and invoices.
  • Gather and organize materials and relevant information for assigned projects.
  • Maintain and organize complex or confidential documents and files, tracking budget expenditures.

Qualifications:
Minimum:
  • High School Diploma/GED with 7 years of relevant experience, or a combination of education and experience.
  • Proven experience supporting C-level executives and their teams.
  • Advanced proficiency in MS Office Suite, including PowerPoint, Outlook, and Word.
  • Exceptional planning, organizational, meeting coordination, and project management skills.
  • Strong interpersonal skills, with the ability to engage professionally with executive-level management.
  • Demonstrated proactive approach to anticipating and responding to executive needs.
  • Excellent written and verbal communication skills, with the ability to handle inquiries efficiently.
  • Experience managing confidential business and personnel information.
  • Detail-oriented with strong time management and prioritization skills.
  • Expertise in calendar management.

Preferred:
  • Bachelor's degree in a related field (e.g., Business).
  • Experience in the telecommunications sector is advantageous.

Compensation:
The hourly base pay rate is $42.12/hour, subject to variation based on factors such as location and the candidate's qualifications. Additional compensation may include commission and/or incentive programs.

Benefits:
Employees are eligible for a minimum of sixteen hours of paid time off each month, along with seven paid holidays annually. Additional paid time off may be available for bereavement, voting, jury duty, volunteering, military service, parental leave, and COVID-19 vaccination.
