Flight Scheduling Specialist

TransMedics is seeking a highly skilled Aviation Scheduler to join our team. As an Aviation Scheduler, you will play a critical role in planning and coordinating aircraft schedules efficiently based on missions and crewing. This is a dynamic and fast-paced environment that requires strong analytical skills, attention to detail, and excellent communication skills.
Key Responsibilities- Receive and process flight requests, ensuring timely and efficient scheduling of aircraft and crew.
- Schedule crews, taking into account factors such as training, sick leave, and personal time off, and making adjustments as needed.
- Collaborate with Dispatch to manage flight cancellations or reroutes, ensuring minimal disruption to operations.
- Determine the most efficient way to complete all requested missions with available aircraft and crew.
- Select the most suitable aircraft and crew for each flight request, considering factors such as maintenance, weather, and crew legality.
- Ensure hangar availability in the event of inclement weather, and coordinate with FBOs for early or late arrivals.
- Obtain necessary permits and slots, check NOTAMs, and plan for alternate airports as needed.
- Identify and mitigate potential delays due to scheduling operations, crew legality, and maintenance issues.
- Track crew duty times to ensure compliance with Federal regulations.
- Coordinate with Maintenance teams for aircraft maintenance, repositioning, and test flights.
- Ensure all aircraft and crew logs are completed daily, and maintain accurate records.
- Comply with all Federal Aviation regulations, including Part 135 requirements.
- Review and submit post-flight expense reports, and perform other tasks as assigned by department supervisors.
- Prior experience in aviation, crew management, or customer service is required.
- Strong personal and work ethics, along with a high level of integrity, are essential.
- Knowledge of FARs in regard to Part 91/135 operations is necessary.
- Ability to work well in a fast-paced environment, with flexibility to adapt to changing business needs.
- Strong analytical skills, attention to detail, and excellent oral and written communication skills are required.
- Proficiency in using industry-specific software and tools, with the ability to learn new software.
- Willingness to work nights, weekends, and holidays as required in a 24/7 operation.
