Position Overview:

This role is situated within the Office of the DoD Chief Information Officer. Ideal candidates will exhibit exceptional organizational skills and the ability to work autonomously while thriving in a collaborative environment. Key responsibilities encompass calendar management, task prioritization, communication facilitation, and document processing to support the mission of the Office of the Secretary of Defense (OSD).

Key Responsibilities:

  • Assist government personnel with administrative frameworks, including file management and records organization.
  • Oversee calendar scheduling, adapting to sudden changes and prioritizing urgent tasks.
  • Handle operational duties related to human resources, IT, security, and facilities management, including phone call management and guest reception.
  • Facilitate the onboarding process for new personnel, ensuring all necessary documentation is completed.
  • Manage requests for government-furnished equipment for new hires.
  • Ensure suite access, maintain SCIF standards, and oversee secure document disposal.
  • Address IT and network-related issues effectively.
  • Support the off-boarding process for departing personnel.
  • Review and route correspondence documents to appropriate offices for response.
  • Develop and maintain an internal tracking system for correspondence and projects.
  • Produce written materials in compliance with DoD correspondence management standards.
  • Perform additional duties as assigned.

Work Environment: This position requires on-site work, with some flexibility for hybrid arrangements.

Qualifications:

  • Bachelor's degree with a minimum of 5 years of relevant experience, or a high school diploma with at least 9 years of related experience.
  • Possession of a Top Secret clearance with SCI eligibility at the time of hire.
  • Expertise in the English language for crafting various DoD correspondence formats.
  • Proven experience in supporting roles within an OSD/Joint Staff/Interagency context.
  • Familiarity with the structure and missions of the OSD and its components.
  • High proficiency in Microsoft Office Suite, particularly Word, PowerPoint, and Teams.
  • Demonstrated ability to thrive in a fast-paced team environment, adapt to evolving requirements, and manage multiple tasks effectively.
