Job Summary

Haynes Law, P.A. is seeking a highly skilled and professional Administrative Assistant to serve as the first point of contact for clients and visitors. The ideal candidate will be responsible for managing the front desk, providing administrative support, and ensuring the smooth operation of daily office functions.

This role is critical in creating a welcoming atmosphere and maintaining the firm's reputation for exceptional client service.

Key Responsibilities:

  • Client Greeting and Communication: Provide a warm and professional welcome to all clients, visitors, and callers, directing them appropriately.
  • Front Desk Management: Maintain and coordinate the firm's appointment calendar, scheduling client meetings and managing conference room bookings.
  • Administrative Support: Assist with filing, data entry, scanning, and preparing documents as needed.
  • Office Organization: Keep the reception area and conference rooms clean, organized, and stocked with necessary supplies.
  • File Management: Organize and maintain client files and legal documents in an orderly manner.
  • Logistics and Coordination: Receive, sort, and distribute incoming mail and packages; manage outgoing shipments and deliveries.
