Job Description:

HOW AN ADMINISTRATIVE SUPPORT OFFICER WILL MAKE AN IMPACT

Act as the primary liaison and action officer for the office, delivering comprehensive administrative assistance to senior executives through a variety of complex and routine tasks, including tracking follow-ups, coordinating approval processes, and ensuring timely completion of projects.

Serve as a point of contact with senior executive staff across various agencies, Congress, and the White House to guarantee alignment of attendance and briefing materials.

Plan, organize, and execute meetings, conferences, and off-site events; may participate as a recorder or note-taker during these gatherings.

Arrange travel logistics, coordinate itineraries, and manage travel-related documentation, including passport/visa requirements and expense reports.
Oversee daily administrative operations for the component.
Monitor and facilitate task completion among other contractors within the unit.
Develop and maintain Standard Operating Procedures for the component.
Draft and edit correspondence, briefings, and presentations for senior executive review.
Exhibit the ability to manage multiple critical deadlines simultaneously.
Conduct quality checks on all materials prepared for senior executive review and/or signature.

Collaborate with component staff to create read-ahead materials and briefing books to prepare senior executives for meetings, conferences, and public engagements.

Research and retrieve necessary data and information from various databases.
Screen incoming correspondence, summarize key issues, and ensure timely responses.
Handle all travel arrangements, both domestic and international, and prepare expense documentation related to executive travel.
Gather budget requirements and monitor spending plans associated with projects or business areas.
Provide backup support within component divisions as required.

WHAT YOU'LL NEED TO SUCCEED
This position requires an active Top Secret/SCI clearance with Polygraph.
A Bachelor’s degree in business administration is essential.
Five (5) years of senior administrative experience supporting Deputy Directors/CEOs or SES-level executives.
Exceptional communication skills with demonstrated experience in writing and editing correspondence and briefings for senior executives.

Possess subject matter expertise to interpret and apply established policies, procedures, and guidelines to unique situations.

Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook).
Advanced skills in SharePoint applications.
Comprehensive knowledge of IC administrative processes and procedures relevant to the assigned area.
Ability to maintain discretion and confidentiality.
Basic understanding of project management principles to effectively plan, coordinate, and execute comprehensive administrative support for processes or projects.

DESIRED QUALIFICATIONS
Proven ability to cultivate a professional network across organizational boundaries and at all levels.
Ten (10) years of progressively senior administrative experience working directly for management at the CEO, SIS/SES/SNIS, or VP level.

The likely salary range for this position is $110,500 - $149,500. This is not, however, a guarantee of compensation or salary.

Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
