Job Overview

Summary: This position is responsible for delivering essential administrative support to the Horticulture and Coastal/Marine Agents. The role involves providing valuable information to the community regarding Horticulture, Marine programs, 4-H, Agriculture, and Family and Community Health initiatives.

Key Responsibilities

Primary Duties: Answer and manage incoming calls; welcome and direct visitors; organize and distribute materials; prepare, edit, and proofread various documents including correspondence, reports, newsletters, and forms using office software; copy and collate documents for distribution or record-keeping; assist residents with inquiries related to Horticulture, Marine, 4-H, Agriculture, and Family and Community Health. Maintain both digital and physical filing systems; retrieve, log, and archive documents; produce copies of essential documents; and manage publication inventories. Regular and predictable attendance is crucial for this role.

Additional Responsibilities: Undertake other job-related tasks as assigned.

Education & Experience Requirements

Qualifications: High School Diploma or GED; completion of one year of business school and/or relevant on-the-job training in office and clerical tasks, including proficiency in computer and word processing applications; at least one year of related work experience; familiarity with Horticulture and/or Marine programs is preferred.

Skills & Competencies

Equipment Proficiency: Personal computer; calculator; multi-line telephone; copier; and other standard office equipment as necessary.

Essential Skills: Strong verbal and written communication abilities; excellent typing and grammar skills; creativity in designing promotional materials. Proficient computer skills, including Microsoft Outlook, Word, Excel, PowerPoint, and Canva. Exceptional interpersonal skills, with the ability to engage effectively with colleagues and the public both in person and over the phone.

Work Environment: The role is primarily based in a climate-controlled office environment shared with other staff and accessible to the public. Frequent phone interactions and office traffic may lead to distractions.

Physical Demands: The position requires regular walking within the office; frequent reaching, lifting, and carrying of items weighing up to 10 pounds, such as files and reports; and occasional prolonged periods of sitting at a computer.
