Job Summary

Buckner International is seeking an Administrative Assistant & Receptionist to join our Beaumont Administrative Program. As a key member of our team, you will provide exceptional support to our location and management team, ensuring a positive image of Buckner through exceptional customer service and administrative expertise.

Key Responsibilities
  • Provide a warm and welcoming experience for visitors, applicants, clients, and other stakeholders, ensuring a positive first impression of Buckner.
  • Answer general questions about program services, respond to incoming calls, and relay messages in a timely and professional manner.
  • Process facility deposits and donations, maintaining accurate records and ensuring compliance with Buckner's financial policies and procedures.
  • Support the Administrative Assistant on Accounts Payable, including purchase orders, invoices, and financial reconciliations.
  • Prepare accurate records of cash receipts and deposits, process incoming checks, and make deposits at the bank as instructed by Buckner's financial policies and procedures.
  • Perform miscellaneous financial duties, including maintaining petty cash supplies, balancing regional checking accounts, and preparing expense reports.
  • Assist with management of TELS Facilities Software, organizing work orders and requests with the Maintenance Technician.
  • Manage vendor set-ups, relations, and account maintenance, ensuring seamless operations.
  • Provide clerical and administrative support to the Executive Director and other assigned staff, assisting with projects as needed.
Requirements
  • High school diploma or equivalent required.
  • Experience in accounting/bookkeeping procedures and data entry preferred.
  • Minimum of three years of experience in a similar position.
  • Ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable.
  • Ability to use up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force continuously to move objects and/or people.
  • Ability to walk, stand, and sit for prolonged periods of time.
