Job Summary

The Center For Veterans Issues is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and programmatic support to the Bureau of Transitional Housing and Programs. This role is responsible for ensuring the effective and efficient operation of the Bureau, requiring an extraordinary attention to detail.

Key Responsibilities
  • Assist the Director with all aspects of the Director's responsibilities, including planning and coordination of meetings and events.
  • Log donations, prepare thank you letters, and maintain financial records in accordance with policies and procedures.
  • Coordinate public events and public relations, including drafting correspondence and other documents.
  • Manage office operations, including ordering supplies, maintaining equipment, and processing mail.
  • Maintain agency databases and perform data entry into the HMIS system.
  • Set up and maintain distribution lists in Outlook and serve as receptionist, answering incoming calls and greeting visitors.
  • Create and maintain central office records and files, including contracts and archival material.
  • Manage mailings and maintain the Director's calendar, setting up meetings and preparing notes and assignments.
  • Coordinate agenda for staff meetings, prepare notes and assignments, and manage volunteers and interns.
  • Conduct preliminary client interviews in support of the Program Specialist and schedule appointments for participants.
  • Assist Case Managers and program staff with client follow-up and data entry.
  • Perform all other duties as assigned by the Director, including collaboration with other staff.
Requirements
  • Associates Degree or equivalent from a two-year college or technical school.
  • Three to five years' experience or training in administrative skills.
  • Able to pass a criminal background check as it relates to the position.
