Job Description

Division 10 Personnel is seeking a highly organized and detail-oriented Construction Administrative Coordinator to oversee procurement activities, manage contracts, and ensure efficient project coordination.

This role is ideal for a professional with a passion for managing construction and development projects, who can work effectively under pressure in a fast-paced environment.

Responsibilities:

  • Coordinate bids and requests for proposals for development projects, ensuring compliance with solicitation requirements.
  • Provide information and assistance to prospective bidders and the public regarding the solicitation process, interpreting bids, and making award recommendations.
  • Create, review, and approve contracts, purchase orders, payments, change orders, and amendments, ensuring project completion and proper close-out documentation.
  • Oversee procurement activities, processing contract payments, change orders, and amendments, and monitor construction contracts.
  • Assist in identifying modernization needs, coordinating architectural/engineering consultants, and managing project timelines.
  • Perform general office duties, including filing, scanning, answering phones, and mail processing.
  • Other duties as assigned, contributing to the department's project completion goals.

Qualifications:

  • Bachelor's Degree in public administration, business, or a related field (preferred).
  • 2-4 years of work experience in the construction or development industry (preferred).
  • Valid Wisconsin Driver's License with an insurable driving record.
  • Proficiency in Microsoft Office products, including Excel and Word, is required.
  • Strong organizational skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Ability to work effectively under pressure in a fast-paced environment.
  • Excellent verbal and written communication skills, with a professional demeanor.
  • General understanding of basic accounting principles.
