Job Overview

We are currently looking for an Office Operations Coordinator to enhance our expanding Chicago studio.

Position Summary

The Office Operations Coordinator is responsible for providing comprehensive administrative and operational support across various departments within the Olson Kundig offices. This role requires exceptional organizational and communication abilities, a keen eye for detail, and a proactive, client-focused approach. The ideal candidate will thrive in a collaborative environment and assist management with essential administrative tasks.

Key Responsibilities:Administrative Support:
  • Manage incoming and outgoing correspondence, deliveries, and courier services.
  • Ensure cleanliness and organization of shared office spaces, including kitchens and meeting rooms.
  • Monitor and replenish office supplies as necessary.
  • Prepare conference rooms for virtual meetings.
  • Perform basic maintenance on office equipment.
  • Organize and maintain the materials library.
  • Set up workstations for new hires to ensure a welcoming start.
  • Coordinate catering for meetings and office events, ensuring timely and accurate service.
Reception Duties:
  • Manage multi-line phone systems and greet visitors with professionalism.
  • Provide general support to visitors and maintain a welcoming reception area.
Event Coordination:
  • Plan and execute food and beverage arrangements for meetings.
  • Organize company events in collaboration with both internal and external stakeholders.
Vendor Coordination:
  • Act as a liaison with building management for maintenance and service issues.
  • Coordinate with cleaning services for office upkeep.
  • Manage maintenance schedules for office equipment.
Qualifications:
  • At least 2 years of experience in office support or a related field.
  • Proven experience in event planning and coordination.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and collaboratively.
  • Effective time management skills to handle multiple priorities.
  • Excellent interpersonal skills for communication with diverse teams and clients.
