Job Overview

The primary role of the Team Supervisor is to execute the responsibilities of a Client Service Coordinator (CSC) and/or veterinary assistant/technician, while also providing essential operational support across all shifts. This ensures that the facility consistently has leadership available to assist both team members and clients. The Team Supervisor will play a crucial role in coordinating and guiding the support staff, while collaborating with management to enhance the productivity and profitability of the facility.

Key Responsibilities

The balance of time allocated to leadership tasks versus support responsibilities will fluctuate based on the operational needs of the facility. The Team Supervisor must exercise sound judgment in prioritizing their responsibilities daily, with an expected average of 20% of their time dedicated to leadership and 80% to support duties.

Support Responsibilities (approximately 80% of time):

  • Embody and promote the core values of the organization within the team.
  • Perform the duties of a CSC and/or veterinary assistant/technician, which may include:
    • Actively engage in attracting new clients by showcasing facility services.
    • Manage the flow of clients and pets to ensure exceptional service and optimal productivity of the veterinary team.
    • Maximize the number of pets seen by the team through efficient operations to meet the needs of wellness plan clients.
    • Deliver professional, efficient, and outstanding service consistently, including welcoming clients and pets, educating them about their pets' health, and preparing for procedures as permitted.
    • Guide clients through necessary documentation and ensure accurate entry of pet information.
    • Assist clients upon departure by providing necessary instructions and scheduling future appointments.
    • Oversee financial transactions and maintain accurate records.
    • Support veterinarians and technicians by ensuring smooth patient flow and assisting with patient care.
    • Maintain safety protocols for pets, clients, and staff by adhering to established procedures and keeping treatment areas organized.
    • Assist with surgical procedures as applicable.

Leadership Responsibilities (approximately 20% of time):

  • Collaborate with management to develop a highly efficient team that delivers top-notch care and service.
  • Support management in labor management, including adjusting staff schedules as needed.
  • Assist in the selection, training, and supervision of support staff to ensure quality care and service.
  • Lead by example in providing exceptional client service and resolving client issues effectively.
  • Foster a positive work environment that encourages team engagement and high performance.
  • Facilitate effective communication among team members, clients, and management.
  • Ensure compliance with dress and grooming standards for all staff.
  • Prepare the team for daily cases and assist with continuity of care.
  • Identify operational bottlenecks and propose solutions to enhance service delivery.
  • Mentor new staff members and ensure adherence to quality standards.

Qualifications

Preferred qualifications include an associate's degree or veterinary technician certification, along with two years of experience in a related field. Prior supervisory experience is advantageous. Candidates should possess strong organizational, problem-solving, and communication skills, along with the ability to manage multiple tasks effectively.
