Job Overview

POSITION SUMMARY

The Site Coordinator collaborates closely with the Area Director to manage the daily functions and execution of all program areas within the organization. This position entails overseeing and mentoring program personnel, handling administrative responsibilities, and acting as a vital link between families, educational institutions, community organizations, and club participants. The Site Coordinator plays a crucial role in implementing behavior management techniques, setting objectives, and ensuring the effective utilization of club facilities and resources. In the absence of the Area Director, this role assumes comprehensive responsibility for coordinating all facets of the site's programming under the guidance of the Area Director.

KEY RESPONSIBILITIES

  • Communicates, applies, and upholds operational policies and procedures.
  • Maintains a fun, healthy, and secure environment for youth by ensuring that facilities, grounds, equipment, and supplies are clean and well-kept.
  • Encourages and enhances program participation while providing guidance and role modeling for club members.
  • Maximizes the use of club facilities, personnel, and resources to achieve organizational goals and strategies.
  • Evaluates, alongside the Area Director, the club's membership levels, average daily attendance, and frequency of participation.
  • Collaborates with the Area Director to devise and implement strategies aimed at increasing membership and attendance.
  • Assesses the needs, interests, and characteristics of youth to create targeted programs that lead to a meaningful club experience.
  • Effectively plans, executes, and supervises programs, services, and activities for club members.
  • Monitors and assesses programs, services, and activities to ensure member safety, program outcomes, quality, and site appearance.
  • Evaluates and promotes participation in targeted programs.
  • Identifies and assesses opportunities to enhance program effectiveness based on participation and achievement of goals.
  • Incorporates the five key elements of positive youth development into the club's culture.
  • Independently supervises large groups of youth, prioritizing their safety at all times.
  • Recognizes and swiftly addresses issues such as disputes, conflicts, and inappropriate behavior.
  • Handles behavioral concerns promptly and aids in conflict resolution with families and members.
  • Collaborates with staff and members to rectify unsafe behaviors, ensure adherence to emergency protocols, and take preventive measures against accidents.
  • Assists in managing the budget for program supplies, ensuring appropriate expenditure and resource allocation.
  • Submits monthly financial reports and maintains records of program-related expenses.
  • Supports the development and submission of necessary administrative documentation for grants and program reports.
  • Supervises program staff, volunteers, and interns.
  • Conducts Human Resources functions, including recruitment and employee management.
  • Demonstrates knowledge of, interest in, and respect for the community served by the organization.
  • Assists in building and nurturing partnerships with community organizations and educational systems to enhance club programs.

EDUCATION AND EXPERIENCE

  • High School diploma or GED, with a minimum of two years of college experience preferred; a four-year degree in a related field from an accredited institution is ideal.
  • A minimum of two years of direct experience in youth services with a proven track record in youth program management, planning, and execution.
  • At least one year of demonstrated supervisory or leadership experience in a similar organization.
  • Ability to work a flexible schedule, including evenings, weekends, and holidays.
  • Strong interpersonal and communication skills.
  • Possession of a valid driver's license and ability to pass a motor vehicle driving record check.
  • Successful completion of a criminal background check.
  • Negative result on a TB test.

  • Understanding of the mission, objectives, policies, and programs of the organization; principles and practices of supervision and management; project management; and youth development.
  • Skilled in group dynamics and capable of facilitating group activities; planning, organizing, promoting, implementing, and evaluating program activities; and striving for positive outcomes.
  • Ability to supervise, train, motivate, and coach staff; assess challenges; build trust and respect among team members; value input from others; organize and prioritize tasks effectively; and demonstrate exceptional attention to detail.

WORKING CONDITIONS

  • Travel between various sites and community locations is required, adhering to the organization's insurance standards.
  • Work is conducted in both community and office settings.
  • Hours are aligned with school calendars and attendance patterns, requiring evening hours during the school year and varying hours during summer and breaks.

This position requires the ability to maintain a stationary position and engage in physical activities such as moving, bending, reaching, and positioning. Frequent interruptions may occur through in-person interactions, phone calls, and email communications.

Work environments may vary, including both indoor and outdoor conditions based on activity locations. Interactions with youth and adults may involve moderate to high noise levels during activities. Physical exertion may be necessary to transport supplies and equipment.
