The Unit Clerk position operates on a shift schedule from 7 am to 4 pm or 8 am to 5 pm.

As a Unit Clerk, you will work under the direct supervision of the Nurse Manager, executing clerical responsibilities associated with both active and closed clinical records.


Key Responsibilities:

Your duties will encompass, but are not limited to:

  • Staying informed about policies and updates from the Medical Records Department regarding patient charts.
  • Faxing aftercare packets and filing essential documents.
  • Preparing emergency packets from completed transcribed Hospital Software copies.
  • Compiling Daily Lists of movements and maintaining the Physician's Daily Roster.
  • Managing billing processes from doctor rosters within designated timeframes.
  • Closing out charts and preparing documentation for audits.
  • Ensuring the accuracy and completeness of active records through ongoing corrections.
  • Conducting major chart audits during patient transfers, furloughs, or discharges.

Your role will also involve disseminating information, maintaining filing systems, and providing internal administrative support, which includes typing general correspondence for professional scheduling and preparing minutes for unit meetings, case conferences, and review board meetings.

Additionally, you will be responsible for completing travel requests and vouchers for the unit, compiling training records, and managing supply orders to ensure organization.

Other Responsibilities:
Your additional duties may include actively participating in or supporting the agency's disaster response and recovery efforts or Continuity of Operations (COOP) activation, which may require flexibility in shift patterns or locations.


Essential Job Functions:
  1. Maintain regular attendance and be prepared to work specific or rotating shift schedules, including extended shifts or overtime as needed.
  2. Manage billing processes for physicians.
  3. Prepare emergency packets and Daily Lists, as well as fax aftercare packets.
  4. Conduct audits of both active and closed records.
  5. Organize and maintain supplies, forms, records, and reports.
  6. Participate in disaster response and recovery initiatives as assigned.

Knowledge, Skills, and Abilities:
  1. Proficient in filing systems.
  2. Familiarity with Microsoft Office Applications.
  3. Understanding of Avatar, MIMS, and Hurricane systems.
  4. Knowledge of office procedures, including spelling, punctuation, grammar, and arithmetic.
  5. Competence in using computers and office equipment.
  6. Ability to prepare and maintain accurate records, files, and reports.
  7. Strong communication skills.
