L.K. Jordan & Associates, a staffing firm based in Texas, is seeking an Administrative Assistant to join our team. This role is essential in connecting skilled individuals with our esteemed clients by fulfilling their staffing needs across various employment types. The Administrative Assistant will play a vital role in supporting the Staffing Assistant, Staffing Supervisors, Direct Hire Recruiters, and Branch Manager in sourcing and recruiting high-caliber candidates that align with diverse client requirements.

Key Responsibilities:

  1. Call Management and Reception:
    • Promptly and professionally handle incoming phone calls.
    • Welcome and assist visitors, clients, and employees, ensuring a positive initial experience.
    • Maintain an organized and tidy front desk area.
  2. Applicant and New Hire Coordination:
    • Guide applicants through online application systems.
    • Collect and distribute new hire documentation, ensuring completion and processing.
    • Schedule interviews and follow-up appointments as necessary.
  3. Background Checks and E-Verify:
    • Conduct background checks on prospective hires, ensuring thorough and accurate completion.
    • Execute E-Verify processes to verify employee eligibility for work.
    • Safeguard the confidentiality and security of all background check and E-Verify data.
  4. Drug Screening:
    • Coordinate and schedule drug screening for new hires and current staff as required.
    • Ensure timely receipt of results and maintain precise records.
  5. Administrative Support:
    • Assist with various administrative duties, including data entry, filing, and document management.
    • Prepare and distribute correspondence, reports, and other essential documents.
    • Support special projects and additional tasks as assigned by management.
  6. Compliance and Record-Keeping:
    • Ensure adherence to company policies and legal standards regarding employment and records management.
    • Maintain accurate and organized records of applicants, new hires, and HR-related documentation.

Qualifications:

  • Education: High school diploma or GED required; an associate's degree or relevant certification in administration or human resources is preferred.
  • Experience: Previous experience in an administrative or front desk capacity is preferred.
  • Skills:
    • Exceptional verbal and written communication abilities.
    • Bilingual in English/Spanish is advantageous.
    • Proficient in office software (e.g., Microsoft Office Suite) and office equipment (e.g., phone systems, fax machines).
    • Strong organizational and multitasking skills.
    • Meticulous attention to detail and accuracy in managing sensitive information.
    • Ability to maintain confidentiality and handle sensitive information discreetly.

Work Schedule:

  • Monday through Friday from 8:00 AM to 5:00 PM, with occasional pre-approved overtime.
