Key Responsibilities:

  1. Phone and Visitor Management:
    • Professionally answer and direct incoming calls.
    • Welcome and assist visitors, ensuring a positive experience.
    • Maintain an organized and tidy reception area.
  2. Applicant Coordination:
    • Guide applicants through online application processes.
    • Collect and verify new hire documentation.
    • Schedule interviews and follow-up meetings as needed.
  3. Background Verification:
    • Conduct thorough background checks on potential hires.
    • Perform E-Verify processes to confirm work eligibility.
    • Safeguard the confidentiality of all verification data.
  4. Drug Testing Coordination:
    • Organize drug screening appointments for new and current employees.
    • Ensure timely follow-up on results and maintain accurate records.
  5. Administrative Assistance:
    • Support various administrative functions, including data entry and document management.
    • Prepare and distribute necessary correspondence and reports.
    • Assist with special projects and additional tasks as assigned.
  6. Compliance and Documentation:
    • Ensure adherence to company policies and legal standards.
    • Maintain organized records of applicants and HR-related documents.

Qualifications:

  • Education: High school diploma or GED required; an associate's degree or relevant certification in administration or human resources is preferred.
  • Experience: Prior experience in an administrative or front desk capacity is preferred.
  • Skills:
    • Strong verbal and written communication abilities.
    • Bilingual in English and Spanish is advantageous.
    • Proficient in office software and equipment.
    • Excellent organizational and multitasking skills.
    • Attention to detail and accuracy in managing sensitive information.
    • Ability to maintain confidentiality and handle sensitive data discreetly.

Work Schedule:

  • Standard work hours are Monday through Friday, with potential for pre-approved overtime.
