Chief Operating Officer's Executive Assistant

Our client, a prominent player in the retail and ecommerce sector, is in search of an Executive Assistant to support their Chief Operating Officer. The successful candidate will demonstrate exceptional organizational skills and a keen attention to detail.
Key Responsibilities:- Manage the COO's calendar, ensuring effective scheduling and communication with team members across various time zones.
- Oversee the executive's email correspondence in Outlook, including organizing messages, drafting replies, and identifying action items.
- Participate in meetings, taking comprehensive minutes for the executive's reference.
- Facilitate project management tasks by developing and maintaining internal workflows, following up with relevant parties, and utilizing appropriate software tools.
- Coordinate travel arrangements for both domestic and international trips, including flights and accommodations, and handle expense report processing.
- Greet visitors and manage incoming calls for the executive.
- A minimum of three years of experience in administrative and executive support roles.
- A Bachelor's degree is preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Bilingual proficiency in English and Spanish is preferred.
- Experience with project management and relevant software, such as ClickUp.
- Strong organizational and time management capabilities.
- Excellent verbal and written communication skills.
- Ability to exercise sound judgment and prioritize tasks effectively.
- Proactive and takes initiative in problem-solving.
- Demonstrates a solution-oriented mindset.
