Job Overview

Our client, a leader in the retail and ecommerce sector, is in search of an Executive Assistant to support their Chief Operating Officer. The successful candidate will be a meticulous and organized administrative professional.

Key Responsibilities:
  • Manage the calendar and scheduling for the Chief Operating Officer, ensuring effective communication with team members across various time zones.
  • Oversee the executive's email correspondence in Outlook, including organizing messages, drafting replies, and identifying actionable items.
  • Participate in meetings, taking detailed minutes for the executive's reference.
  • Facilitate project management tasks by developing and maintaining internal workflows, ensuring timely follow-ups with relevant parties, and utilizing project management software.
  • Coordinate travel arrangements for both domestic and international trips, including flights and accommodations, and handle expense report processing.
  • Greet visitors to the office and manage incoming calls for the executive.
Qualifications:
  • A minimum of three years of experience in administrative and executive support roles.
  • A Bachelor's degree is preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Bilingual proficiency in English and Spanish is advantageous.
  • Experience with project management tools, such as ClickUp, is preferred.
  • Exceptional organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Strong judgment skills and the ability to prioritize tasks effectively.
  • Proactive and takes initiative in problem-solving.
  • Demonstrates a solution-oriented approach to challenges.
