Position Overview

Our client, a prominent player in the retail and ecommerce sector, is in search of an Executive Assistant to support their Chief Operating Officer. The position requires a highly organized and detail-oriented administrative professional.

Key Responsibilities:
  • Manage the COO's calendar, scheduling appointments, and liaising with direct reports across various time zones.
  • Oversee the executive's email correspondence in Outlook, including organizing, drafting replies, and identifying action items from discussions.
  • Participate in meetings and document minutes for the executive.
  • Facilitate project management tasks by developing and maintaining internal workflows, ensuring follow-ups with relevant parties, and utilizing project management software.
  • Coordinate travel arrangements for both domestic and international trips, including flights and accommodations, as well as processing expense reports.
  • Greet visitors to the office and manage incoming calls for the executive.
Qualifications:
  • A minimum of three years of experience in administrative and executive support roles.
  • A Bachelor's degree is preferred.
  • Proficiency in Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint.
  • Bilingual proficiency in English and Spanish is preferred.
  • Experience with project management tools, such as ClickUp.
  • Exceptional organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to exercise sound judgment and prioritize tasks effectively.
  • Proactive and takes initiative in problem-solving.
  • Strong solution-oriented mindset.
