Administrative Support Specialist

Jotform is a leading online form builder with over 25 million users worldwide. We're seeking an experienced Administrative Support Specialist to join our team in our San Francisco HQ office.
Key Responsibilities- Event Planning: Coordinate logistics for conferences, seminars, and events, including arranging travel and accommodations for team members.
- Inventory Oversight: Develop systems to manage office supplies, equipment, and swag, ensuring efficient ordering and organization.
- Equipment Distribution and Collection: Send equipment and Jotform swag to remote new hires, set up office equipment for in-office new hires, and arrange return of company property from former employees.
- Vendor Management: Manage workplace-related vendors, including property management, water deliveries, internet, and commuter benefits.
- Clerical and Administrative Support: File customer payment receipts, assist with form preparation and processing, and coordinate other duties and special projects.
- Office Upkeep: Maintain a clean and organized office environment, including tidying the kitchen and supply areas, loading and emptying dishwashers, and reporting maintenance issues.
- Emergency Preparedness: Coordinate with HR on safety meetings, ensure adequate emergency provisions, and serve as a safety warden.
- Willing to work 20 hours per week in-office.
- Growth mindset and proactive problem-solving skills.
- Strong organizational skills, attention to detail, and effective communication skills.
- Experience with vendor management and process improvement.
- Nice to have: Current enrollment in or completion of a Bachelor's degree program in Business Administration or related disciplines.
