Job Title: Proposal Coordinator

Chen Moore and Associates is seeking a highly organized and detail-oriented Proposal Coordinator to join our business development and marketing team. As a key member of our team, you will be responsible for coordinating proposal efforts, developing marketing materials, and ensuring the highest level of quality in all our proposals.

Key Responsibilities:
  • Coordinate proposal efforts, including coordinating with internal and external teams, managing timelines, and ensuring all necessary materials are submitted on time.
  • Develop and edit marketing materials, including proposals, presentations, and graphics, to ensure they meet the company's brand standards and RFP requirements.
  • Work closely with technical staff to develop and refine proposal content, ensuring it is accurate, concise, and persuasive.
  • Evaluate and assist in preparing content to ensure it meets RFP requirements and company brand standards.
  • Collaborate with graphic designers to create strategic and persuasive graphics.
  • Facilitate internal QA/QC procedures for all marketing and proposal materials.
  • Collect and maintain intelligence related to clients and competitors to support opportunities and pursuits.
  • Create and maintain resumes, company information, project descriptions, and photography for proposals, SOQs, and other materials.
  • Maintain marketing and communications databases and file folder structures.
  • Conduct basic research on market trends, competitor materials, media contacts, and other relevant topics.
  • Perform basic graphic design tasks, such as diagrams, tables, charts, cover designs, and layouts for proposals, presentations, and marketing materials.
  • Assist with public relations efforts and social media strategies with other marketing team members.
Requirements:
  • Bachelor's degree in business, marketing, or a related field.
  • At least 5 years of experience as a marketing professional in the A/E/C industry.
  • Proficiency in Adobe Creative Suite and Microsoft Office, especially InDesign, Acrobat, MS Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Ability to effectively set priorities while juggling multiple deadlines and maintaining composure under pressure.
  • Experience facilitating and documenting discussions and leading proposal kick-off meetings and team reviews.
  • Involvement with local marketing and A/E/C organizations and willingness to attend events on behalf of the firm.
  • Experience with Deltek Vision/Vantagepoint is preferred but not required.
  • Excellent oral, communication, interpersonal, and time management skills, with the ability to interact at the client and senior staff level.
  • Demonstrates flexibility by adjusting readily to changing priorities in a fast-paced, deadline-driven environment.
  • Demonstrates a strong work ethic and quality in work.
