Position Overview:
As Pivot Strategies expands, we are in search of an Administrative Operations Coordinator to become an integral part of our team.

The Administrative Operations Coordinator will play a vital role in supporting the executive team by managing daily operations and serving as the primary point of contact for various support activities.

The ideal candidate will possess strong communication skills and the ability to proactively address complex challenges with minimal supervision.


Key Responsibilities:
  • Oversee general office and administrative functions, including supply management, mail distribution, and conference room bookings.
  • Manage the relationship with Life Time Work for team memberships.
  • Plan and coordinate all-team meetings, networking events, and leadership retreats, including budget management and travel arrangements.
  • Maintain the calendars and travel plans for the CEO and leadership team.
  • Prioritize and flag emails for the CEO.
  • Facilitate communication with internal and external stakeholders as directed by the CEO and leadership team.
  • Collaborate with Talent and Marketing teams to manage team and client gifts.
  • Oversee employee recognition initiatives, including birthday and work anniversary celebrations.
  • Build and maintain vendor relationships for events and meeting spaces.
  • Support the Talent Acquisition team with interview scheduling.
  • Assist in onboarding new employees, including scheduling meetings and preparing welcome materials.
  • Engage in miscellaneous projects to support business initiatives, such as researching new office locations.
  • Maintain organized digital files using Google Suite and MS 365.
  • Draft internal communications for the CEO and leadership team.
  • Assist with the transition from Google to MS 365.
  • Support consultants with client deliverables as needed.

Impact:
The Administrative Operations Coordinator will be a critical problem solver, providing efficient solutions to enhance the executive team's productivity.

This role will significantly reduce the administrative burden on the CEO and executives, allowing them to focus on strategic initiatives.

By demonstrating professionalism in managing executive calendars and liaising with clients and candidates, you will contribute to a seamless operational flow.
