Your responsibilities will include providing data-driven solutions for project completion, generating reports, supporting fleet vehicle management, facilitating meeting logistics, and offering backup assistance to other members of the Administrative Services team as necessary.

Our ideal candidate will possess a minimum of 2 years of recent office or administrative experience, with intermediate proficiency in Microsoft Excel, Outlook, PowerPoint, and Word. Key Responsibilities of the Administrative Services Specialist:

  • Develop reports and spreadsheets to summarize and convey information across various departments.
  • Extract data from systems such as HR or Clinical databases and manipulate it using tools like pivot tables and V-lookups in Excel.
  • Support Senior Leadership with diverse projects, including meeting coordination and monthly expense report preparation.
  • Assist in overseeing the maintenance of corporate office fleet vehicles.
  • Provide administrative support for the Director of Administrative Services and reception duties (phone and guest interactions).
  • Assist multiple departments with various administrative tasks.
  • Offer logistical support for both internal and external events as required.
  • Perform additional duties as assigned.

Qualifications for the Administrative Services Specialist:

  • Proficiency in Microsoft Suite (Outlook, Word, Excel, and PowerPoint) is essential.
  • A 2-year degree is required; a 4-year degree is preferred.
  • At least 2 years of recent office or administrative experience is necessary.
  • Intermediate to advanced knowledge of Microsoft Office, particularly Excel, Outlook, PowerPoint, and Word.
  • Ability to work both collaboratively and independently, prioritize tasks effectively, and learn new processes quickly.
  • Consistent ability to meet deadlines.
