Position Summary:
The Administrative Operations Manager will oversee and manage the daily activities of the Payroll and Accounting Department. This role includes hiring and supervising staff, assisting with payroll processing, reconciling benefits, navigating payroll software, and collaborating with department heads to ensure timely and accurate payroll execution. The position also involves managing dealership accounting personnel and ensuring adherence to necessary procedures and systems for maintaining accurate records and providing essential financial services.
- Execute various accounting responsibilities as needed.
- Supervise the payroll department's daily operations.
- Guide payroll clerks in the accurate and timely processing of semi-monthly payroll.
- Coordinate with department heads to guarantee precise payroll processing.
- Manage benefits administration, including statement reconciliation and COBRA compliance.
- Input and update payroll information as required.
- Ensure compliance with relevant laws and regulations.
- Address and resolve payroll discrepancies.
- Review time sheets submitted by department managers.
- Issue incentive payments as necessary.
- Safeguard employee personal information.
- Oversee Paid Time Off (PTO) accruals.
- Provide proactive support to management and staff in problem-solving.
- Monitor the financial Line of Credit and manage flooring payoffs.
- Oversee corporate cash management and collaborate with management to forecast cash flow needs.
- Supervise accounts payable and receivable functions.
- Direct the company's credit policies and collection efforts.
- Enforce company policies and ensure compliance with standards.
- Maintain compliance with applicable laws and regulations.
- Ensure robust internal controls are established.
- Review reconciliations of general ledger accounts with external sources to confirm accurate bank reconciliations and balances.
- Prepare information for tax planning and reporting in a timely manner.
- Assist in vendor selection and manage contractual relationships.
- Recruit, interview, hire, and train new department staff, overseeing daily workflows and conducting performance evaluations.
- Perform additional duties as assigned.
Qualifications:
• Bachelor's Degree in Accounting or Finance is preferred.
• Experience in an automotive dealership is REQUIRED.
• Minimum of two years of payroll experience is required.
• Familiarity with ADP Workforce Now is preferred.
• At least two years of experience with CDK is preferred.
• Proficiency in Microsoft Excel (minimum of 5 years' experience) is essential.
Benefits:
Eligible employees and their families can access medical, dental, vision, short/long-term disability, and basic life/AD&D insurance after 60 days of employment. Car Pros covers 80% of basic medical (Kaiser Permanente), dental, and vision insurance for employees, with additional costs for dependents and voluntary options. Employees can enroll in the company's 401k plan after one year of service and will accrue one hour of personal time off for every 30 hours worked.
Compensation: $70,000 - $100,000 annually
