About the Role
The Administrative Support Specialist - Loan Operations is responsible for providing direct administrative support, oversight, and organization to several Senior Managers in a professional and efficient manner. The ideal candidate will perform a wide range of administrative and office support activities for the department and managers, some of which are confidential and complex in nature.
The successful candidate will be multi-skilled with strong operational skills, excellent technical skills with Excel and PowerPoint. Excellent communication is required to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.
Key Responsibilities
- Anticipate the needs and apply strategic business thinking to provide administrative support to the senior managers within Loan Operations.
- Makes appropriate, informed decisions regarding the Senior Manager's schedulings.
- Manage a complex calendar, scheduling meetings and events using MS Outlook.
- Coordinate corporate meetings, departmental functions, and detailed travel arrangements.
- Develop and prepare reports, diagrams, charts, documents, and presentations for department managers as directed.
- Act as liaison for Loan Operations Business Continuity Plan updates.
- Co-ordinate SOX documentation updates to Internal Audit.
- Update the status of original signed documents as received and perform related custodial transfer to the Document Imaging Team.
- Support projects and Committees by preparing project plans and meeting minutes from various meetings and committees.
- Co-ordinate monthly loss/fraud reporting.
- Pull and prepare confidential reports on a monthly basis to update employee scorecards.
- Prepare budget and variance reports on an ongoing basis along with required presentations.
- Process correspondence, files, records, and minutes, and perform other specific duties for management staff.
- Co-ordinate and track policies and procedures updates.
- Perform simple revisions to policies and procedures under manager's oversight.
- Greets and maintains contact with department visitors and 3rd party-service providers. Serve as the first line of communication between Loan Operations visitors and the bank while delivering excellent customer service and demonstrating a high degree of professionalism.
Qualifications
- College degree or Admin Professional Certificate is required.
- 5 years plus related experience and/or training; or equivalent combination of education and experience.
- Banking experience in the Loan Operations field preferred.
- Project experience preferred.
- Expert in Microsoft Excel, Word, and PowerPoint.
- Excellent written and verbal communication required.
- Organizational skills and time management a must.
Salary and Benefits
The base pay range for this position is USD $26.00/Hr. - USD $32.00/Hr. Exact offers will be determined based on job-related knowledge, skills, experience, and location.
