ASRC Federal AFSS stands as a leading provider of systems engineering, software development, system integration, and project management services tailored for real-time, mission-critical defense systems. We are currently in search of a Senior Project Support Specialist to deliver comprehensive in-office support for a NASA contract.

Key Responsibilities:

The Science Mission Directorate at NASA Headquarters is looking for a Senior Project Support Specialist to provide dedicated executive business support to the Astrophysics Division, encompassing the following:

  • Calendar Management: Ensure that key meetings are attended by at least one member of the SMD senior management team through effective calendar resolution.
  • Meeting Coordination: Oversee logistics for meetings, including agenda preparation, attendee management, reserving conference rooms, and organizing travel details.
  • Administrative Management: Independently execute administrative functions to meet various organizational needs, including preparing travel authorizations and vouchers for multiple division members.
  • Database Maintenance: Manage databases that track the status of administrative requirements and systems.
  • Technical Review: Conduct thorough reviews of correspondence for organizational executives to ensure compliance with agency standards.
  • Action Tracking: Utilize the Headquarters Action Tracking System (HATS) and Partnership Agreement Maker (PAM) to monitor SMD actions.
  • Meeting Support: Facilitate key meetings by establishing call-in lines, taking notes, and creating sign-in lists, whether in person or via virtual platforms.
  • Presentation Development: Create presentations to support division meetings.
  • Milestone Planning: Assist in the planning of Directorate milestones and perform additional duties as required.
  • Customer Recommendations: Provide insights to customers regarding meeting attendance and communications to respect their schedules.
  • IT Coordination: Familiarize with internal NASA HQ contacts for IT and meeting support, particularly for hybrid events.
  • Security Clearance Tracking: Monitor division personnel with security clearance access and assist in organizing classified briefings.
  • Visitor Support: Manage paperwork for domestic and foreign visitors to NASA HQ division offices.
  • Additional Duties: Undertake other responsibilities as assigned.

Qualifications:

  • Full-time in-office work capability.
  • Ability to work autonomously and collaboratively.
  • Strong decision-making and prioritization skills.
  • Friendly demeanor to effectively engage with the public.
  • Detail-oriented with exceptional organizational abilities.
  • Outstanding verbal and written communication skills.
  • Proficiency in standard Microsoft Office Suite.
  • Executive administrative skills are essential.
  • Adept at managing rapidly changing schedules and travel arrangements.
  • Willingness to travel as necessary.
  • Must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC, with an extensive background investigation required.

Education and Experience:

  • Bachelor's degree with 12 years of relevant experience or 15 years of experience in lieu of a degree.

Compensation Statement:

We are committed to investing in our employees' well-being by offering competitive pay and benefits packages. The salary range for this position is $90,790 - $136,246, based on experience, seniority, geographic location, and other legal factors. Benefits may include healthcare, dental, vision, life insurance, 401(k), education assistance, and paid time off.
