Job Overview

The Reception Specialist is responsible for managing all front desk operations, including welcoming guests, addressing inquiries, and facilitating check-ins and check-outs.

This role also ensures the reception area is kept tidy and organized, contributing to a positive first impression for all visitors.

Key Responsibilities

The following outlines the primary duties and responsibilities of the position:

  • Greet hotel guests and visitors warmly, assessing their needs and providing appropriate assistance.
  • Respond to incoming calls in a timely and professional manner, maintaining a friendly attitude while addressing caller inquiries.
  • Update and manage guest registration data, billing information, and room assignments.
  • Assist guests with various requests, such as making reservations, arranging transportation, and recommending local attractions.
  • Oversee room inventory and availability, ensuring accurate records are maintained.
  • Familiarize oneself with hotel credit policies and product offerings.
  • Handle the distribution of mail and packages for guests.
  • Conduct regular checks of the reception area to ensure cleanliness and organization.
  • Complete guest check-out procedures efficiently.
  • Balance departmental accounts and prepare necessary documentation.
  • Safeguard guest keys and cash, performing cash counts at the end of each shift.
  • Monitor guest accounts for unusual activity and report any concerns to management.
  • Collaborate with other departments to resolve guest issues and complaints.
  • Maintain knowledge of emergency procedures and communicate any relevant issues to management.
Required Skills and Qualifications
  • Proficient in Microsoft Office Suite.
  • Exceptional interpersonal skills with a positive and engaging demeanor.
  • Able to work collaboratively within a team environment.
  • Strong computer skills and ability to think clearly under pressure.
  • Capable of handling challenging situations with professionalism and effective communication.
  • Willingness to work flexible hours, including evenings, weekends, and holidays.
Education and Experience
  • High School Diploma or equivalent.
  • Prior experience in a hotel front desk role is preferred.
  • Training in guest relations is advantageous.
  • Experience in the hospitality sector in a similar capacity is desirable.
Language Proficiency
  • Strong reading, writing, and verbal communication skills in English.
Physical Requirements

The physical demands of this role include:

  • Ability to stand for extended periods.
  • Frequent use of hands and fingers for computer operation.
  • Occasional sitting for administrative tasks.
  • Ability to lift or move items weighing up to 50 lbs.
  • Continuous standing and walking for several hours.
