Position Overview:

A prominent non-profit organization is in search of a dedicated Temp Administrative Assistant. This role is structured as a hybrid position, requiring three days of onsite work and two days of remote engagement each week. The selected candidate will also be expected to travel with the team approximately once a month. Standard working hours are from 10 AM to 6 PM, with the possibility of overtime during events. This is an open-ended temporary position with compensation based on experience.

Key Responsibilities:

  • Manage appointment scheduling and calendar maintenance;
  • Coordinate and schedule both internal and external meetings utilizing administrative software (proficiency in Calendly, Google Suite, and Zoom is essential);
  • Document and distribute meeting minutes for executive team members;
  • Develop spreadsheets to monitor ongoing budgets, projects, contact lists, and various organizational benchmarks;
  • Draft, proofread, edit, and disseminate correspondence, memoranda, and reports;
  • Assist in managing accounts, including email accounts and timekeeping systems;
  • Establish and maintain both electronic and physical filing systems;
  • Procure office supplies and explore new suppliers and deals;
  • Arrange travel logistics;
  • Continuously seek opportunities to enhance administrative processes.

Qualifications:

  • Prior experience in a non-profit or social justice setting;
  • Excellent written and verbal communication skills;
  • Strong organizational, multitasking, and prioritization abilities;
  • Proven capability to be proactive, take initiative, and exercise sound judgment and discretion;
  • Familiarity with timekeeping systems;
  • Proficiency in Microsoft Office, Google Suite, Calendly, and Zoom;
  • Experience in managing and safeguarding electronic files via cloud-based platforms;
  • Adaptability to changing circumstances and urgency in a fast-paced environment;
  • Ability to collaborate effectively with diverse work styles;
  • Experience in event management;
  • Basic accounting knowledge is preferred but not mandatory;
  • Minimum of 2 years of administrative experience is required;
  • Education: Associate's degree is required; Bachelor's degree is preferred.
