Executive Coordinator

On Location Inc. is seeking a highly skilled and organized Executive Coordinator to join our team. As an Executive Coordinator, you will be responsible for providing administrative support to our Senior Executives, ensuring seamless execution of their schedules, travel arrangements, and meeting logistics.
Key Responsibilities:
- Manage Senior Executive calendars, scheduling meetings and conference calls, and coordinating travel arrangements
- Arrange comprehensive international travel plans, including booking flights, updating itineraries, and making restaurant reservations
- Coordinate logistics for executive visitors, including booking meeting rooms and handling hospitality needs
- Collaborate with the global team to take detailed meeting notes, capture action items, and ensure tracking and completion of deliverables
- Handle expense reports, authorizations, and approvals in accordance with company policies and procedures
- Screen incoming requests and correspondence, prioritizing based on urgency
- Liaise with internal and external stakeholders, including clients and business associates
- Maintain organized filing systems to ensure efficient document management
- Gather, compile, and analyze information for executive communications
Requirements:
- Bachelor's Degree
- Excellent organizational and time management skills, with attention to detail
- Strong written and verbal communication skills, including drafting messages and note-taking
- Ability to work under pressure in a dynamic, fast-paced environment
- Quick learner with the ability to adapt to new tasks and systems
- High level of discretion in handling confidential information
Preferred Qualifications:
- Previous relevant administrative experience
- Strong interpersonal skills and ability to build rapport quickly
- Proven experience in managing multiple tasks and meeting deadlines
- A proactive, customer service-oriented mindset, with a strong sense of teamwork
