Position Overview

Salary: $20-$27/hour DOE

Viking Property Management, LLC is in search of a proficient Financial Administrative Associate to support the Controller in overseeing our daily financial and accounting operations. This role demands a high level of confidentiality, exceptional organizational abilities, and meticulous attention to detail. Strong customer service skills and clear communication are essential for success in this position. The ideal candidate will be a dependable multi-tasker, dedicated to consistently meeting deadlines.

Key Responsibilities
  • Review, obtain approval for, and investigate vendor accounts payable invoices as necessary.
  • Enter invoices, record cash receipts, and manage inter-company billing using MRI Database Software.
  • Collect daily mail and dispatch checks as they are issued.
  • Process water meter readings for tenant billing.
  • Engage with vendors, tenants, and relevant staff members.
  • Organize and maintain data and information within SharePoint.
  • Ensure subcontractor W9 and Insurance Certificates are up-to-date to minimize risk and liability.
  • Assist with payroll processing in QuickBooks.
  • Conduct bank reconciliations and vendor account reconciliations.

Required Skills and Qualifications
  • Proficient in QuickBooks.
  • Ability to communicate effectively and clearly, both verbally and in writing.
  • Strong interpersonal and customer service skills.
  • Excellent organizational skills and keen attention to detail.
  • Proven time management skills with the ability to meet deadlines.
  • Strong analytical and problem-solving capabilities.
  • Proficient in Microsoft Office Suite or similar software.
  • Must possess or be willing to obtain Notary Public certification (Company Reimbursed).
Education and Experience
  • Bachelor's Degree or a minimum of 2 years of experience in accounting and bookkeeping. Experience in Real Estate and/or Property Management is a plus.
  • Extensive experience in data entry, record keeping, and computer operations (Proficiency in QuickBooks, Microsoft Office, Excel, and other accounting software).
Physical Demands and Working Conditions
  • Ability to sit for extended periods while completing tasks on a computer and other office equipment.
  • Position requires frequent talking, hearing, and vision, with occasional standing, walking, and reaching.
