Key Responsibilities:
  • Scheduling patient and physician appointments with accuracy and efficiency
  • Answering and screening phone calls, and transferring them to the appropriate staff member
  • Registering patient visits and maintaining accurate records
  • Preparing and distributing surgical documents as required
  • Maintaining confidentiality and adhering to strict data protection protocols
  • Creating and maintaining an efficient filing system for active, pending, and processed referrals
  • Maintaining an updated database of appointments, diagnoses, and disposition decisions
  • Creation and maintenance of patient files, including accurate and timely updates
  • Attending meetings, taking minutes, and typing reports
  • Providing administrative support with research documents, teaching materials, grant proposals/publications, and presentation materials
  • Accurately handling and preparing OHIP billing procedures
  • Overseeing accounts receivable and payable functions for physicians
  • Ensuring basic office management and organization, including maintaining inventory and supplies
  • Booking travel and hotel arrangements, meeting rooms, and catering as required
  • Accurate transcription for correspondence, including dicta typing
Requirements:
  • Degree in Medical Administration or equivalent experience
  • Successful completion of a Medical Terminology certificate
  • Proficient computer skills with advanced knowledge of word processing, spreadsheet applications, graphic and desktop publishing software
  • Excellent interpersonal and communication skills, with ability to clarify priorities among team members
  • Professional and consistent customer service skills
