Job Description

We are seeking a highly skilled and organized Executive Assistant to CEO to join our team at Medical Practice Company.

About the Role

This is a unique opportunity for an experienced professional to play a pivotal role in ensuring the CEO's office operates efficiently and effectively. As an Executive Assistant, you will manage critical tasks, anticipate needs, and act as a key point of contact for internal and external stakeholders.

Key Responsibilities

  • Schedule Management: Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements with precision and attention to detail.
  • Preparation and Research: Prepare agendas, presentations, and reports for meetings, conducting thorough research to ensure accuracy and completeness.
  • Liaison and Communication: Serve as the primary liaison between the CEO and internal/external stakeholders, handling sensitive and confidential information with discretion.
  • Event Coordination: Coordinate organization for events, conferences, and special projects, ensuring seamless execution and minimal disruption.
  • Tasks Prioritization: Assist in prioritizing tasks and ensuring deadlines are met, maintaining a high level of productivity and efficiency.
  • Briefing Materials: Conduct research and prepare briefing materials for the CEO, providing valuable insights and recommendations.
  • Special Projects: Manage and handle special projects, applying creative problem-solving skills and analytical thinking.

Qualifications and Requirements

  • Experience: 3-5 years as an Executive Assistant or similar role, preferably supporting senior executives.
  • Education: Bachelor's degree preferred but not required.
  • Skills:
  • Exceptional Organizational Skills: Demonstrate exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent Communication Skills: Possess excellent written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
  • Technical Proficiency: Strong proficiency in Microsoft Office, Google Workspace, or similar communication and finance software.
  • Professionalism and Discretion: Demonstrate a high level of professionalism and discretion, handling sensitive and confidential information with care.
