Job Summary

At Medstar, we are seeking a highly organized and detail-oriented Office Clerk to join our team. As an Office Clerk, you will provide administrative support to our department, ensuring the smooth operation of our office.

Key Responsibilities

Provide clerical support services, including typing, filing, photocopying, and answering telephones.
Assist in the accumulation of data and the preparation of reports and correspondence.
Maintain automated information systems used by the department, including inventory, purchasing, and receiving.
Assist in the distribution of information and processing of receipts.
Check, proofread, sort, assemble, and distribute materials; operate standard office equipment, such as calculators, copy machines, and typewriters.
Order and maintain office supplies.
May complete purchase orders and miscellaneous forms; may input inventory data into the system, check the correctness of account coding, and research information to ensure accuracy or investigate discrepancies.
Respond to requests for information and assistance in a timely manner.
Schedule appointments and meetings.
Set up and maintain departmental files and records and assist in maintaining office systems.
Organize and file information, reports, and correspondence.
Sort, prioritize, and distribute all incoming mail.
Type letters, memos, minutes, and other materials.
Participate in meetings and on committees and represent the department and hospital in community outreach efforts as required.
Participate in multidisciplinary quality and service improvement teams.
Follow established policies to ensure the security of the gift shop. Assumes responsibility for particular departments as assigned by the gift shop supervisor. Duties would include pricing, displaying, inventory notes, stocking, and anything required to ensure good seasonal sales in that department.
Collaborate with the gift shop supervisor and write weekly shop updates to ensure all volunteers and part-time employees are informed and instructed with all necessary information to maintain maximum efficiency in the shop. Oversees volunteers and acts as a lead liaison to employees in the gift shop in the absence of the supervisor.
Reconcile daily register in the absence of the gift shop supervisor. Responsible for maintaining required change in the register drawer, assuring that hospital cashier orders additional change in times of high sales volumes.

Requirements

High School Diploma or GED required or equivalent required.
Knowledge of medical terminology preferred.
Less than 1 year 6 months clerical/office experience required.
Typing and computer skills.
Verbal and written communication skills.
Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.
