About Us
The Air Line Pilots Association, International (ALPA) is the largest union representing airline pilots globally and a key player in aviation safety advocacy. We are seeking a Membership Administrative Analyst to join our team in McLean, Virginia. This role is vital in supporting over 78,000 pilots across 71 airlines in the U.S. and Canada.
Key Responsibilities
- Respond to inquiries from pilots, elected officials, and airline representatives.
- Analyze incoming data and determine appropriate actions.
- Provide timely responses regarding pilot dues, insurance billing, and membership-related issues.
- Document all correspondence related to membership inquiries in electronic files.
- Maintain communication with relevant parties to gather necessary information.
- Track the status of inquiries and keep stakeholders updated.
- Update and maintain pilot demographic information.
- Prepare correspondence based on pilot interactions.
- Manage pilot billing accounts within the Association Management System (AMS), including dues, assessments, and adjustments.
- Conduct annual earnings-file verifications and reconciliations.
- Review accounts for agency fee objectors and process rebate transactions.
- Establish a follow-up system to ensure timely processing of inquiries.
- Ensure accuracy of membership and billing account information through regular report analysis.
- Support other departmental functions as needed.
The ideal candidate will quickly learn and apply knowledge of the Association's Constitution, By-Laws, and Administration Manual in a dynamic work environment.
Minimum Qualifications
- Two years of college education with a focus on business administration or management preferred; high school diploma required, or equivalent experience.
- At least two years of experience working with computer systems in a business setting.
- Experience in customer or member service is essential.
- Familiarity with an AMS is preferred, particularly with Aptify.
- Proficient in Microsoft Excel, Access, Word, and Outlook.
- Strong interpersonal and communication skills, both verbal and written.
- Ability to interact professionally with various stakeholders.
- Flexibility to work on short notice as required.
- Solid mathematical skills are necessary.
