Accounting Manager

Reports to:

Overview: The Accounting Manager is responsible for the preparation of financial records and statements for various investment entities, corporations, partnerships, and other organizations within a family office environment. This role will also provide support to the Treasury function of the family office and assist in the preparation of workpapers for tax compliance. The position offers the flexibility of hybrid remote and office work arrangements as determined by the CFO.

Key Qualifications:
  • Bachelor’s degree in Accounting is mandatory.
  • At least 5 years of experience in a CPA firm or similar environment with a focus on financial statement preparation. Experience in a Family Office is advantageous.
  • Familiarity with tax workpaper preparation and tax returns is beneficial but not essential.
  • Proficient in analyzing and interpreting financial data and correspondence, taking appropriate actions as necessary.
  • Excellent communication skills, both verbal and written, to interact effectively with Family Office management and family members of varying financial backgrounds, as well as external accountants, attorneys, and consultants.
  • Strong organizational abilities to manage all accounting tasks efficiently and meet deadlines with minimal oversight.
  • Analytical mindset with a commitment to enhancing processes and internal controls.
  • Proficient in technology, particularly in advanced Excel, Word, PowerPoint, and accounting software such as QuickBooks (Desktop), Sage Intaact, or SEI Archway.
  • A positive, service-oriented approach towards Family Office clients, colleagues, and service providers.
  • Self-motivated with a strong work ethic and a high standard of excellence.

Primary Responsibilities:

Accounting and Financial Reporting:
  • Transition current entity general ledgers to tax basis financial accounting from existing records in QuickBooks Online in preparation for software migration.
  • Collaborate with the Direct Investments team to proactively manage transactions and gather necessary documentation and approvals.
  • Assist in establishing internal controls for vendor payments and cash transfers.
  • Manage bill payments and cash flow for multiple entities, ensuring proper approvals prior to transactions.
  • Prepare all cash and non-cash journal entries with appropriate supporting documentation.
  • Conduct bank reconciliations for review by the Controller.
  • Prepare and review financial statements for distribution to Family Office Management and the Principal.
  • Develop cash projections to assist the CFO in identifying cash flow needs for investments.
  • Prepare annual budgets and forecasts as required.
  • Maintain organized and up-to-date files for each entity on the internal network.

Tax Compliance and Planning:
  • Establish a process for timely preparation and submission of tax workpapers to external accounting firms.
  • Respond to information requests from external accounting firms.
  • Review draft tax returns prepared by external accountants.
  • Assist with quarterly tax estimates for various entities as needed.
  • Facilitate electronic tax payment transfers.
  • Ensure timely payment of real estate taxes for properties owned by the entity.

Additional Financial Services:
  • Coordinate capital calls and cash transfers with banks to ensure timely transactions.
  • Provide assistance to the Principal or Family Members with financial transactions as directed.

Family Office Development and Administration:
  • Adhere to policies and procedures established by the organization.
  • Maintain strict confidentiality regarding all financial and family-related information.
  • Support the creation and maintenance of electronic file storage systems.
  • Contribute to the development of processes aimed at improving operational efficiencies.
  • Actively participate as a team member, providing support to the family and Family Office staff.
  • Remain adaptable to changes in job responsibilities as the Family Office evolves.
  • Be open to additional duties as assigned by the Controller or Family Office Management.
