Accounting Manager

CFO and Controller
Overview: The Accounting Manager is responsible for maintaining the financial records and generating financial statements for various investment entities, corporations, partnerships, and other entities within a family office framework. This role will also assist the Treasury function of the family office and prepare workpapers for tax filings. The position allows for a hybrid work model, combining remote and office work as determined by the CFO.
Qualifications:
- A Bachelor’s degree in Accounting is mandatory.
- At least 5 years of relevant experience in a CPA firm or similar environment with a focus on financial statement preparation. Experience in a Family Office is advantageous.
- Familiarity with tax workpaper preparation and tax returns is beneficial but not essential.
- Proficient in analyzing and interpreting financial data and correspondence, taking appropriate actions as necessary.
- Excellent communication skills, both verbal and written, to interact effectively with Family Office management and family members of varying financial literacy, as well as external accountants, attorneys, and consultants.
- Strong organizational capabilities to ensure all accounting tasks are completed efficiently and effectively within deadlines with minimal oversight.
- Analytical mindset with a focus on enhancing processes and internal controls.
- Advanced proficiency in technology, particularly in Excel, Word, PowerPoint, and accounting software such as QuickBooks, Sage Intaact, or SEI Archway is preferred.
- A positive, service-oriented attitude towards Family Office clients, colleagues, and service providers.
- Self-motivated with a strong work ethic and commitment to excellence.
Key Responsibilities:
Accounting and Financial Reporting Duties
- Transition current entity general ledgers to tax basis financial accounting from existing ledgers in QuickBooks Online in preparation for software migration.
- Develop a collaborative relationship with the Direct Investments team to proactively manage transactions and gather necessary documentation and approvals.
- Assist in establishing internal controls for vendor payments and cash transactions.
- Manage bill payments and cash flow for multiple entities, ensuring proper approvals are obtained prior to any cash movements.
- Prepare all cash and non-cash journal entries with appropriate supporting documentation.
- Conduct bank reconciliations for review by the Controller.
- Generate and review financial statements for distribution to Family Office Management and the Principal.
- Create cash projections to assist the CFO in identifying cash surpluses or deficits for investment purposes.
- Develop annual budgets and forecasts as required.
- Maintain organized and current files for each entity on the internal network.
Tax Compliance and Planning Responsibilities
- Establish a process for timely preparation and submission of tax workpapers to external accounting firms.
- Respond to information requests from external accounting firms.
- Review draft tax returns prepared by external accountants.
- Assist with quarterly tax estimates for various entities as needed.
- Facilitate electronic tax payment transfers.
- Ensure timely payment of real estate taxes for properties owned by the entity.
Additional Financial Services
- Coordinate capital calls and other cash transfers with banks to ensure timely cash movements.
- Assist the Principal or other Family Members with financial transactions as directed.
- Adhere to policies and procedures established by the Company.
- Maintain strict confidentiality regarding all financial and family relationship information.
- Aid in the creation and upkeep of electronic file storage systems.
- Contribute to the development of processes aimed at improving operational efficiencies.
- Actively participate as a team member, providing support to the family and Family Office team.
- Adapt to changes in this position description as the Family Office evolves.
- Be receptive to additional duties as assigned by the Controller or Family Office Management.
