Job Overview

Cosmetic Physician Partners is developing a distinguished network of physician-led aesthetic clinics across the United States. We are in search of a Front Desk Receptionist to assist at one of our affiliated clinics, EVOLV Plastic Surgery & Medical Aesthetics.

The primary responsibility of this role is to oversee the scheduling of client appointments, warmly welcome clients upon arrival, and possess comprehensive knowledge of the services offered.

The ideal candidate will exhibit exceptional patient care skills, possess outstanding communication abilities, and demonstrate a polished and articulate demeanor. Flexibility in scheduling, strong analytical decision-making capabilities, an outgoing and friendly personality, the ability to multitask, and a collaborative spirit are essential. Comfort with basic computer software, high integrity, and a quick learning aptitude with a desire for professional growth are also required.

Key Responsibilities:

  • Client Engagement: Foster a welcoming and informative atmosphere for clients by providing detailed product knowledge, addressing inquiries, and assisting them in making informed decisions regarding services.
  • Visual Merchandising: Aid in maintaining attractive displays that showcase our offerings and draw client interest. Ensure that products are adequately stocked and organized.
  • Client Relationship Management: Cultivate strong relationships with returning clients by providing personalized attention and follow-up support. Maintain a database of client preferences for future reference.
  • Promotional Activities: Assist in promotional events and product launches by actively engaging clients and highlighting featured services.
  • Team Collaboration: Work alongside team members and vendors to create a cohesive and client-focused environment.
  • Client Feedback: Proactively seek client feedback and relay insights to the Cosmetic Supervisor to enhance service quality and product offerings.
  • Sanitation and Hygiene: Ensure the cleanliness and hygiene of the clinic, including product sampling and maintaining an orderly workspace.
  • Appointment Scheduling: Establish and maintain communication with clients considering or awaiting aesthetic procedures. Optimize scheduling efficiency by managing cancellation lists and utilizing CRM software.
  • Front Desk Management: Responsibilities include but are not limited to:
    • Welcoming clients at check-in/out, providing necessary paperwork and consents for procedures, and managing the appointment calendar.
    • Operating point-of-sale systems.
    • Suggesting innovative strategies to attract potential clients, such as promotions and special offers.
    • Facilitating online client interactions and responding to inquiries.
    • Reporting on client reviews and feedback.
    • Assisting with inventory management.
    • Maintaining a clean, organized, and safe work environment.
    • Converting prospective clients.
    • Contributing to content creation for marketing purposes.
    • Assisting in coordinating events, including open houses.
    • Growing the email marketing database and maintaining updated lists.
    • Decorating and organizing the aesthetic retail and workspace.
    • Participating actively in all team meetings.
