Job Summary

We are seeking a highly skilled Administrative Services Specialist II to join our team at Shelby County. This role will provide administrative support to the Division Director, Finance Manager, and Policies & Procedures Officer, as well as coordinate activities for the Public Works Division Office.

Key Responsibilities
  • Provide high-level administrative support to senior staff members, including confidential tasks and correspondence.
  • Plan, schedule, and coordinate activities for the Public Works Division Office, ensuring efficient use of resources and meeting deadlines.
  • Greets internal and external customers, answering questions and providing information on departmental policies, procedures, and business functions.
  • Conduct program audits to evaluate financial performance and policy compliance, working closely with the Finance Manager and Policies & Procedures Officer.
  • Assist with financial and purchasing functions, including requisitioning goods and services, accounts payable, and budget management.
  • Support human resources functions, including payroll, OJI claims, and employee information changes.
  • Assist in preparing the Division Office's budget, researching budget-related issues, and monitoring personnel budgets.
  • Obtain data from various sources to prepare and compile standard reports, maintaining accurate records of organizational changes.
Requirements
  • Three years' experience in administrative functions, including accounting, procurement, grants management, and auditing, or a related field.
  • Bachelor's degree in accounting, finance, business administration, or a related field, or an equivalent combination of education and experience.
  • Excellent written and verbal communication skills, effective interpersonal skills, and multi-tasking ability.
  • Ability to work professionally with various department staff, other county departments, and office of Elected Officials.
  • Proficient knowledge in Microsoft Office and database software systems.
