Job Summary

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at TP-Link Systems Inc. The ideal candidate will have excellent communication skills, be able to multitask effectively, and maintain confidentiality in handling sensitive information.

About the Role
  • This is a full-time position with standard business hours (9:00 AM – 6:00 PM).
Key Responsibilities:
  1. Greet visitors, clients, and vendors professionally and provide them with necessary support.
  2. Manage phone calls, emails, and maintain effective communication across departments.
  3. Schedule meetings, appointments, and conferences efficiently.
  4. Maintain office supplies inventory and ensure the office environment is clean and well-maintained.
  5. Assist in document preparation, presentations, and reports.
  6. Handle mail, deliveries, and shipments promptly.
  7. Coordinate office events and activities.
  8. Maintain filing systems and assist with document management.
  9. Support HR with employee onboarding, file management, and office policies.
  10. Arrange travel for staff members as needed.
  11. E nsure compliance with safety procedures and company policies.
  12. Provide additional administrative support as required.
Requirements:
  1. A high school diploma or equivalent is mandatory; an Associate's degree is preferred.
  2. At least 2+ years of experience in an office coordinator or administrative role.
  3. Proficiency in MS Office and office equipment is essential.
  4. Excellent written and verbal communication skills are required.
  5. Strong organizational skills with the ability to manage multiple tasks and deadlines.
  6. Ability to maintain confidentiality and handle sensitive information.
  7. Detail-oriented with problem-solving skills.
  8. Ability to work independently and as part of a team.
  9. Prior customer-facing experience is beneficial.
