Are you adept at organization and strategic planning? We are seeking an Administrative Operations Coordinator to deliver essential support to our Owner and team, facilitating the achievement of our organizational goals. Your contribution is vital in ensuring that plans are executed efficiently, schedules are adhered to, meetings are conducted seamlessly, and information is meticulously organized.

Compensation:

$22 - $27 per hour

Key Responsibilities:
  • General Administrative Support
  • Manage incoming calls, coordinate appointments, engage with clients, and oversee basic financial recordkeeping.
  • Prepare financial documents, reports, memos, and invoices. Conduct research and compile data for documentation purposes.
  • Implement special projects including presentations, spreadsheets, reports, Scopes of Work, and agendas. Assist in project coordination and track progress.
  • Oversee office operations such as supply procurement, maintenance of filing systems, and upkeep of CRM systems.
  • Collect and organize documentation from subcontractors and vendors. Support clients with selections and compile project-related documentation.
  • Ensure the confidentiality of sensitive information. Prepare materials for meetings and maintain office presentations.
  • Provide administrative support across various departments and manage assigned tasks, which may occasionally involve travel for administrative duties.
  • Support to the Owner
  • Transform discussions into professional documentation. Organize daily tasks, schedules, and prioritize responsibilities.
  • Evaluate the urgency of matters for the owner and manage or delegate tasks accordingly.
  • Maintain the company calendar, which includes project timelines, client meetings, and deadlines. Provide guidance on time-sensitive and critical issues.
  • Run personal errands for the owner as needed. Take on additional responsibilities as assigned periodically.
Qualifications:
  • Associate's degree with a minimum of 4 years' experience in an executive assistant role or a similar position.
  • Excellent written and verbal communication skills, along with strong organizational and time management abilities.
  • Self-motivated with the ability to work independently and handle confidential information securely.
  • Proficient in Microsoft Office Suite. Familiarity with office management practices and recordkeeping systems is essential.
  • Successful completion of a background check, possession of a valid driver's license, and access to an insured vehicle.
