Job Title: Administrative Budget Specialist

Job Summary:

The Office of Budget and Financial Analysis at Texas State University is seeking a highly motivated and detail-oriented Administrative Budget Specialist to provide administrative budget support for the Budget Office. This is an entry-level position with a primary focus on performing daily operational budgeting transactions, supporting budget processes, and assisting customers with budget variances.

Key Responsibilities:

  • Assist with the triage of Budget Office inbox, assess the request, and take action by routing to the correct team member, seeking proper approvals, or taking corrective action depending on the customer request.
  • Process basic budget functions, including SAP testing, creating budget addresses, daily review of departmental budget adjustments, daily RIB processing, uses of reserves, and estimated income.
  • Provide research and resolutions for departmental over budgets/budget hard stops, including support for back-office processors.
  • Assist with the creation of process documentation for budget and assist with the creation of forms and resources requested to better assist customers or improve current processes.
  • Work collaboratively in a team environment to assist budget managers on a variety of issues as they relate to budget variances, including HR actions, expense processing, budget policy, procedure, and allowable usage of their funding.
  • Assist in preparation of the annual budget by updating the budget system, running queries, preparing spreadsheets, and other documentation.
  • Assist lead trainer with training in one-on-one, small group, and large group settings for campus budget managers and their assigned budgetary assistants.
  • Assist with the creation and maintenance of master data elements and tables for FI and FM modules using appropriate SAP transactions.

Requirements:

  • Ability to communicate effectively, both verbally and in writing, with a variety of personnel at all levels of the organization.
  • Experience in Microsoft Office, including but not limited to Excel.
  • Experience with balancing and reconciling, calculating variances and percentages.
  • Ability to research budget variances and provide solutions to key stakeholders.
  • Skill in providing excellent customer service.
  • Preferred Qualifications: Experience in higher education budgeting processes and procedures, knowledge of governmental fund accounting, knowledge of basic budgeting principles, experience with SAP, ability to work with large data sets in Excel using advanced spreadsheet skills, and a Bachelor's degree in a related field.
