Position Overview
We are currently seeking a Senior Administrative Coordinator to join our dynamic team. This role is essential in providing high-level professional support to our banking team within the Investment Banking division. The ideal candidate thrives in a fast-paced environment, adeptly managing multiple projects and deadlines while demonstrating strong organizational skills. A professional demeanor is crucial for effective interaction with senior partners, clients, and colleagues. Team collaboration is key to success in this role.

Key Responsibilities
  • Perform a wide range of administrative tasks for senior bankers, including managing calendars and coordinating meetings via Zoom and Microsoft Teams.
  • Organize domestic and international travel arrangements, ensuring seamless itineraries.
  • Utilize the Microsoft suite and other software for document preparation, including pitchbooks, correspondence, and reports.
  • Compile and reconcile expense reports in accordance with company policies.
  • Maintain and update the CRM database, ensuring accurate tracking of client interactions and deal processes.
  • Exercise discretion in managing time-sensitive issues and prioritize tasks effectively.
  • Handle confidential information with the utmost integrity and professionalism.
  • Coordinate internal and external meetings and events, negotiating contracts with venues as necessary.
  • Manage multiple phone lines, projecting a positive image to clients and colleagues.
  • Assist in onboarding new team members, fostering a welcoming environment.
  • Oversee office supplies and inventory management.
  • Welcome and direct visitors, ensuring a positive experience.
  • Coordinate office events and meetings, enhancing team engagement.
  • Perform general clerical duties, including photocopying and filing.
  • Take on additional responsibilities as required.
