Job Overview

Position Summary

The Utility Project Coordinator plays a pivotal role in ensuring seamless communication among clients, external project teams, public utility representatives, drafting personnel, and other stakeholders involved in the project lifecycle.

This role entails overseeing various underground utility initiatives while collaborating closely with business partners to strategize, facilitate, and execute projects effectively. The ideal candidate will serve as the primary liaison for client interactions and engage with multiple utility business partners.

Key Responsibilities

To excel in this position, the individual must competently fulfill the following responsibilities:

  • Act as the main point of contact for clients on assigned projects, ensuring quality control throughout the process;
  • Monitor and document project activities, maintaining comprehensive records including submittals, tracking logs, change orders, and other relevant documentation;
  • Collaborate with the internal Design and Drafting Team to identify necessary resources and develop timelines for timely project completion;
  • Establish priorities, create project schedules, and manage multiple projects within a team-oriented environment, emphasizing delivery and quality;
  • Assist clients in obtaining all required utility clearances for related equipment;
  • Oversee the internal project team to ensure that key deliverables are met promptly and comply with all regulatory standards;
  • Address project conflicts and propose effective remediation strategies;
  • Work in conjunction with Landscape Architects and Civil Engineers;
  • Engage cross-functionally to enhance overall procedures and documentation practices;
  • Gather necessary information from clients for utility service applications;
  • Regularly update the Project Tracking Log to document milestones and monitor project status while aligning with client scheduling objectives;
  • Timely follow up with utility companies to secure required materials for projects;
  • Conduct quality assurance checks on project drawings prepared by the Vizion Utility drafting team;
  • Prepare bid packages, including assembling drawing sets and spreadsheets;
  • Organize and lead pre-construction meetings;
  • Perform additional duties as assigned.
