Job Summary:

Capitol Government Contract Specialists is seeking an experienced Administrative Assistant to support our operations team in handling daily office management and administrative duties. The ideal candidate will have a proven track record of administrative assistant experience and a demonstrated ability to think independently.

Key Responsibilities:

  • Assist the Operations Manager in running payroll on a bi-weekly basis using ADP software
  • File all applicable Contract documents (Task Orders, Applicable contract changes). Knowledge of SharePoint preferred
  • Take meeting minutes, review and upload to applicable agencies
  • Generate invoices on a monthly basis and track payments
  • Maintain company socio-economic certifications with a variety of state governments
  • Maintain insurance coverages and work with brokers to provide insurance certifications to company customers
  • Maintain records of certifications, contracts, and various agency deadlines
  • Assist the Operations Manager in the onboarding of new employees with basic laptop setup skills
  • Work closely with the executive team based on Company's needs at the time
  • Serve as the point person for duties including: mailing, supplies, equipment, bills, errands, shopping

Requirements:

  • Proven experience as an Administrative assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent written and verbal communication skills
  • Able to be flexible as action items arise
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements

Preferred:

  • Experience working with ADP timekeeping and payroll systems
  • Experience with Infoflo or similar CRM software
  • Experience with contract management (public transit is plus)
