SALES ADMINISTRATIVE ASSISTANT

POSITION SUMMARY:

Reporting directly to the Sales Manager, the Sales Administrative Assistant plays a crucial role in managing the complete quote preparation process. This includes receiving Requests for Quotes (RFQs) from clients and compiling comprehensive quote packages. Additionally, this position is responsible for dispatching quotes to clients and addressing daily customer inquiries.

KEY RESPONSIBILITIES

  • Receive and process RFQs from clients
  • Examine drawings and quote data to ensure all required information is present
  • Communicate with clients regarding any discrepancies in the quote package
  • Organize and print all job specifications, drawings, and necessary documentation
  • Assign unique quote numbers to each package
  • Review historical data of parts within the system
  • Request quotes from external vendors as needed
  • Assemble completed quote packages for submission to the Engineering Manager
  • Generate quotes and distribute them to clients
  • Log and manage incoming purchase orders
  • Create job entries in the software system
  • Collaborate with production control to secure target pricing from outsourced vendors upon job award
  • Handle incoming calls
  • Screen and assist customers/vendors
  • Maintain filing systems
  • Perform general receptionist duties

SKILLS & QUALIFICATIONS

  • Ability to work independently with a strong work ethic, contributing as a member of a customer-focused quality engineering team.
  • Excellent verbal and written communication skills, fostering teamwork among colleagues.
  • Demonstrates diplomacy and possesses strong interpersonal skills.
  • Accountable for meeting commitments related to project outcomes.
  • Proficient in multitasking while maintaining accuracy and prioritization.
  • Maintains performance and motivation levels despite routine and repetitive tasks.
  • Capable of working effectively under pressure and adhering to deadlines.
  • Operational knowledge of computers, copiers/printers, and phone systems.
  • Strong organizational and prioritization skills.
  • Experience with Microsoft Office is preferred.
  • High School Diploma or GED required.
  • A minimum of 5 years of experience in a related manufacturing engineering environment.

According to the New York Pay Transparency law, the pay range for this position is $25.00 per hour. Actual compensation will be determined based on experience and other factors permitted by law.
