Position Overview:

The Customer Account Coordinator plays a vital role in managing the order processing and sales agreements, ensuring the accurate creation and upkeep of customer account information, and addressing customer inquiries through various communication channels. This role also involves providing administrative assistance, including the preparation of billing statements and handling follow-up inquiries. The primary focus is on reviewing and managing sales agreements while maintaining precise customer account records within the system. This position operates in a hybrid model, requiring in-office work three days a week from 7:30 AM to 3:30 PM.

Key Responsibilities:

  • Establishing and updating customer accounts
  • Processing customer orders and sales agreements
  • Preparing billing statements and invoices
  • Managing invoice adjustments and follow-up inquiries
  • Responding to customer communications via email and phone
  • Providing administrative support as needed
  • Completing other related tasks or projects as assigned

Required Qualifications:

  • High School diploma or equivalent
  • Minimum of 1 year experience in an administrative or billing role
  • At least 1 year of experience in customer service
  • 1 year of experience in sales administrative support
  • Detail-oriented with a process-driven mindset, as demonstrated in previous roles
  • Strong communication skills and a proven track record of following through on responsibilities
  • Proficient in reading, writing, and communicating in English

Preferred Qualifications:

  • Familiarity with Microsoft Dynamics 365 is advantageous
  • Excellent organizational and communication skills (both written and verbal)
  • Strong typing proficiency
  • Self-motivated individual capable of working independently
  • Ability to prioritize tasks effectively to meet deadlines

Physical Demands:

  • Effective communication skills are essential (i.e., ability to see, hear, speak, and write clearly in English)
  • Manual dexterity required for prolonged computer use, occasional reaching, and lifting of light office items
  • Ability to maintain focus on a computer for extended periods

Working Conditions:

  • The work environment is clean, organized, well-lit, and ventilated, with low to moderate noise levels

Compensation: $20.00 - $23.00 per hour, depending on experience.
