Position: Legal Assistant – Corporate or Litigation
A prominent law firm in Michigan is looking for a dedicated Legal Assistant to support their corporate or litigation teams. This role is essential for maintaining high standards of client service and operational efficiency. The ideal candidate will possess strong organizational skills and a meticulous attention to detail, thriving in both independent and collaborative work environments.
Key Responsibilities:- Contribute to a client-centered team, demonstrating professionalism and effective communication while exercising sound judgment under the guidance of designated attorneys.
- Draft and prepare legal documents including correspondence, memos, pleadings, and briefs, ensuring compliance with legal formatting standards; manage electronic and traditional filing of documents.
- Transcribe dictated materials and meticulously proofread all documents to guarantee accuracy and professionalism.
- Handle incoming calls with courtesy and professionalism, directing messages appropriately and addressing non-legal inquiries as needed.
- Manage incoming postal mail, ensuring timely routing to relevant parties.
- Coordinate the delivery of documents through various courier services, providing necessary details for successful delivery.
- Maintain calendars and tracking systems for case-related deadlines, appointments, and follow-ups, ensuring all dates are accurately recorded and monitored.
- Input and verify billing information in the firm's billing system, ensuring accuracy before monthly deadlines.
- Open new client files, conduct conflict checks, and maintain organized electronic and physical files, adhering to retention policies.
- Schedule depositions, hearings, and meetings, preparing all necessary documentation and materials.
- Request checks for filing fees and reimbursements for business expenses incurred by attorneys.
- Assist with overflow work from other legal assistants and provide coverage during absences as needed.
- Participate in staff meetings and training sessions as required.
- Perform general office duties including copying, typing, scanning, and faxing as necessary.
- Uphold confidentiality in all matters related to the firm and its clients.
- Support additional firm projects as directed by attorneys or paralegals.
- High school diploma required.
- Two to three years of relevant experience in a law office setting, demonstrating familiarity with legal procedures and document preparation.
- Preferred: 2+ years as a legal assistant or similar role within a law firm; Bachelor's degree in legal studies or a related field.
- Proficient in Microsoft Office Suite and legal document management software; capable of transcribing documents at a minimum of 30 words per minute.
- Exceptional proofreading and editing skills.
- Strong organizational and multitasking abilities to manage competing priorities effectively.
- Ability to work independently and complete tasks with minimal supervision.
- Professional demeanor with a collaborative approach to teamwork.
- Effective communication skills to interact with a diverse group of attorneys and staff.
- Commitment to providing excellent client service.
- Willingness to work occasional hours outside of standard business hours.
- Familiarity with iManage or other document management systems.
