Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at KW Property Management & Consulting. As a key member of our administrative staff, you will be responsible for providing exceptional support to our clients and internal teams.

Key Responsibilities
  • Assist in the daily operation of the management office and perform administrative duties in accordance with established Company procedures and guidelines.
  • Provide administrative support, including record keeping, filing, mail collection and distribution, word processing, data entry, and maintaining office supplies.
  • Maintain, update, and coordinate account information in our computer database.
  • Research and resolve owner discrepancies regarding payment to accounts.
  • Coordinate and track important dates and meetings, such as turnover, annual, and budget meetings.
  • Ensure timely and courteous handling of telephone calls and messages.
  • Respond to emails within 24 hours.
  • Pick up and distribute mail daily.
  • Provide and maintain architectural approvals, maintenance requests, sale/lease information, and other property-specific forms.
  • Coordinate conference room events and special projects as instructed.
Requirements
  • 1-year experience in a related position.
  • Working knowledge of computer and associated programs, including MS Office Suite.
  • Ability to multi-task, set, and manage priorities.
  • Excellent communication and listening skills to interact with a diverse population.
  • Keyboarding ability with accuracy at 45-50 words per minute.
  • Ability to function in a team-oriented environment.
Working Conditions

This is a full-time non-exempt (hourly) position. Days and hours of work will be determined based on the business needs of the property. Minimal travel is required for meetings and trainings within the city limits of the job site.
