Position Overview:

The Access Representative plays a crucial role in facilitating the admission process within our outpatient services. This position is essential for ensuring that clients receive timely access to care and support.

Key Responsibilities:

  1. Welcome clients and visitors with professionalism, adhering to established sign-in protocols.
  2. Manage incoming calls efficiently, providing assistance and transferring calls as necessary. Regularly monitor voicemail and ensure prompt follow-up.
  3. Conduct client intakes by explaining the intake process and assisting clients in completing necessary documentation, whether digitally or on paper, including verification of insurance details.
  4. Facilitate client check-ins for appointments, ensuring accurate arrival tagging, flag checks in the system, and collection of service fees.
  5. Coordinate appointment scheduling for clinicians, manage future appointments, and handle rescheduling as required.
  6. Document management: send, scan, and log essential documents into client charts as needed.

Additional Duties: Other responsibilities may be assigned by the supervisor as necessary.

Qualifications:

  • A minimum of two years of experience in a medical or behavioral health office setting is preferred.
  • Proficiency in Microsoft Word and Excel is advantageous.
  • A high school diploma or equivalent is preferred.
  • Bilingual skills are a plus but not mandatory.
